Age Group Coordinator
Our age group coordinators have several important
duties. Some of these are shared responsibilities
such as attending board meetings and acting as field marshall on game
weekends. Their unique duties include
roster formation and acting as the point of contact for coaches and parents in
their age group.
We traditionally have seven age group coordinators. U14 (U15) and U16 duties are performed by one coordinator while U5, U6, U7, U8, U10, and U12 each have a coordinator. The rules for forming rosters varies in different ages as some teams are randomly formed and in some age groups we allow teammate and coach requests. The coordinators are given guidelines previously approved by the board to follow when forming teams.
Coaches are a very important part of each roster! Sometimes we have enough coaches register in a division to be able to place all of the players without an issue. In most cases we aren’t that fortunate, so the coordinator will contact the parents of the players to find a coach for the team.
Parents and coaches are asked to contact their age group coordinator when they have questions or issues. In most cases the coordinator can address or answer them, but when needed they will involve the appropriate board member(s) to answer or resolve the issue. When properly executed, this keeps the coordinator informed of what is happening in their age group and helps keep the registrar and president from being overwhelmed with emails.
All board members are expected to attend monthly board meetings. A majority of the meetings are held on the first Thursday of the month at 7:00pm. It is understandable that someone might have to miss a meeting or two per year, but the decisions made at the meeting effect the entire club so your participation is important!
Each game day we have board members who act as field marshalls at the fields. In the past this has meant 4 board members per weekend, but that could change depending on the fields we are assigned by the city. In general, each board member will perform two 3 hour shifts as field marshall in each of the fall and spring seasons along with a 3 hour shift at the tournament. The field marshall should walk around their designated park throughout their shift. It is important to be visible to both parents and coaches when on duty. Knowing a board member is present and watching is a deterrent for most possible problems. It also helps them quickly locate you in the event an issue arises and you are needed.
Last, but not least, each board member is expected to attend and help with our in person registration events. We generally hold two in the fall and one in the spring. Each event lasts two hours and we need each board member present to help answer questions and assist those who are registering.
